My hospital emailed me a medical records release form as a PDF. They told me to print it, fill it, sign it, scan it and return it to the medical records department, in that order. In 2018? To get the form via email (i.e., electronically), yet be asked to print it? Did the last 20 years just… not mean anything! So I thought I’d be clever. I’d fill it first, THEN print it. Or better yet, never print it, but sign it anyhow, and return it along with a note making the case for improving their workflow. August 19, 2008 (Berlin) – Visitors to this year’s DMS EXPO can spend the day before the trade show learning all about the PDF/A format in a relaxed atmosphere. On September 8, the PDF/A Competence Center is offering an information seminar in Cologne. Participants will spend half a day learning all they need to know about the ISO standard for long-term archiving, its areas of application and advantages. The introductory lecture will be held by Bernhard Zoeller, a well-known ECM expert and CEO of Zoeller & Partner. Afterwards, noted specialists and members of the PDF/A Competence Center will speak on a variety of topics covering many aspects of PDF/A. They will explain, for example, how metadata and electronic signatures are used in PDF/A documents. Other topics include the conversion of paper-based and electronic documents including e-mail messages to PDF/A.
This year the DMS EXPO will be held in Cologne from September 9-11. Once again, the PDF/A Competence Center will be represented with a booth (G 059) at the trade show. Fourteen members will present their products and services covering all aspects of PDF/A and will be available to answer questions and discuss issues with interested parties.

The PDF/A Competence Center is conducting its half-day seminar just before the DMS EXPO for the third year in a row. “The participants at our events in past years praised not only the content and quality of the seminar, but particularly the time chosen for it,” explained Thomas Zellmann, executive chairman of the PDF/A Competence Center. “There is little effort involved in combining participation in our seminar with a visit to the DMS EXPO.”
Once again, the PDF/A Competence Center is fortunate to have the ECM expert Bernhard Zoeller as a speaker. He will open the seminar with an introduction to document formats for long-term archiving. Afterwards, the members of the PDF/A Competence Center management board will make presentations. First Olaf Druemmer, CEO of callas software GmbH, will give an overview of the PDF/A standard. He will be followed by Dr. Bernd Wild, CEO of intarsys consulting GmbH, who will speak on PDF/A workflow and electronic signatures. Then Thomas Merz, CEO of PDFlib GmbH, will explain the use of metadata in PDF/A documents. The use of PDF/A in scanning and for incoming documents will be explained by Thomas Zellmann of LuraTech Europe GmbH. Finally, Dr. Hans Baerfuss, CEO of PDF Tools AG, will show how digitally created documents and e-mail messages can be converted to PDF/A for long-term readability.
The majority of companies planning the introduction of a uniform format for long-term archiving are now choosing PDF/A. This was revealed in a survey by the PDF/A Competence Center at the end of last year. Moreover, in past months, numerous institutions in various countries have issued clear recommendations for PDF/A. As Bernhard Zoeller, CEO of the respected ECM consultancy Zoeller & Partner GmbH, commented, “PDF/A is not mandatory.
However, increasing numbers of users not only those in sectors and processes subject to regulation end the debate on the proper format for long-term reproducibility of documents by using an ISO standard. PDF/A was for conceived for archival periods of several decades, and there is a consensus among specialists that this objective will be met.”
The half-day PDF/A seminar will take place on September 8, 2008 from 1:30 p.m. to 5:30 p.m. in the Leonardo Hotel in Cologne. The participation fee is 250 plus VAT and includes a handout consisting of a CD with white papers and additional general information. The seminar will be held in German. The ISO 19005 standard (PDF/A) defines requirements for creating documents suitable for archiving based on the widely available PDF format. The standard specifies in detail what content is allowed and what is not. These and other specifications are intended to ensure long-term readability of the documents regardless of the application software and operating system in which they were originally produced. Experts predict that the designation of PDF/A as an ISO standard will promote the popularity of that format, and advantages such as full-text search capabilities will lead to it replacing TIFF in the near future.

The objective of the association is to promote the exchange of information and experience in the field of long-term archiving in accordance with ISO 19005 (PDF/A).
