Origins

Founding

The PDF Association was founded in September 2006, registered under the name of “Association for Digital Document Standards (ADDS) e.V.” in Berlin, Germany.

Instead of the intentionally generic ADDS name the organization operated under the label "PDF/A Competence Center" as PDF/A was a key topic that shaped the activities over the first few years. In 2011 the brand was changed to "PDF Association" to reflect the wider landscape of ISO standardized PDF technology that had emerged over the previous years.

Already in the months before September 2006 the management of the founding companies came together a couple of times and discussed how to get the association started. The meeting minutes of the three preparatory meetings that took place in summer 2006 are included for historical reference.

Abstimmung und Festlegung von Satzung/Kriterien für die Mitgliedschaft:

  • Wer darf mit welchen Rechten und Pflichten Mitglied werden (Hersteller, Anwender, Förderer etc.)?
  • Soll die Initiative europäisch bleiben oder auch Mitgliedern weltweit offen sein? (Aus logistischen Gründen wäre eine rein europäische Organisation von Vorteil, Nachteile sind zu diskutieren und abzuwägen.)
  • Soll die Initiative für sich oder unter dem Dach einer bestehenden Organisation stehen? (Zu Beginn eher aus Gründen der Effizienz und Alleinstellungsmerkmal selbständig.)
  • Welche Sprache soll die Initiative „sprechen“?
  • Bringt „A“ in der Bezeichnung der Initiative Einschränkungen mit sich? (Es soll ein Gleichgewicht zwischen der Langfristigkeit des Namens und Hervorheben vom derzei-tigen Schwerpunkt PDF/A gefunden werden, eventuell durch Kombination von einem PDF/A spezifischen Namen und einem allgemein formulierten Logo bzw. umgekehrt.)

PDF/A Standardisation, Olaf Drümmer

At the 15th of August the final draft of the corrigendum for the PDF/A standard will be presented. After another 2 to 3 month the final ISO document should be available as a reprint. This document corrects errors in the first version of the standard, such as concerning namespaces and glyphs.

  • A “readable summary” of the PDF/A Corrigendum’s topics suitable for end users was asked of Olaf Drümmer.

This is public knowledge as everyone could get this information from his own national Committee.

The next Versions PDF/A-2 (PDF 1.6, Transparency, Layers, JPEG 2000) and PDF/A-3 (dynamic content) will be postponed as feedback from the usage of the standard should be awaited.

The PDF/A Association

  • A e.V. (Association) will be found in Germany.
  • No own place of business.
  • Business location Berlin.
  • In the first step no own executive, but later if required.
  • The purpose of the association should be as broad as possible so not to restrict further activities undue. – Proposed name “Verein zur Förderung von Dokumentenstandards“.

The final name of the association will be discussed on the mailing list. An English version and an abbreviation will be needed.

  • The association will run the initiative “PDF/A Competence Center“ or “PDF/A Center of Competence“, but further projects may be added in the future.

The name of the initiative has to be fine tuned.

Ordinance

  • Mr Zellmann prepares a draft of the ordinance,

Members

It was agreed upon 3 different types of members:

Partner
at the moment the attendant companies. Partners are authorised to elect the board and change the ordinance. The admission of new partners must be permitted by the existing partners. The suggested membership fee is 10,000 Euro.
Full Member
Every interested company or person may apply for full membership. This allows these members to participate in technical committees and marketing activities. Admission by the board of members. Suggested membership fee: Up to 25 employees 1000 Euro, up to 100 employees 2000 Euro and 100 an up employees 4000 Euro.
Associated Member
Single person not company, Suggested membership fee 200 Euro.

Members get no fee for activities concerning the association. Only expenses can be refunded.

At the moment the board of members is constituted from the five founder companies, at the moment Hans Bärfuss, Olaf Drümmer, Harald Grumser, Thomas Merz und Thomas Zellmann. A suitable method of substitution was requested.

As chairman of the board Thomas Zellmann was elected. So the domicile of the association is Berlin, c/o Luratech. (Kantstr. 21, 10623 Berlin)

Changing the ordinance requires simple majority of the partners.

The membership fee is settled by the board of members.

Strategies for admitting new members

Everybody who supports the goals of the association can be accepted as a full member. Non compliance with the goals leads to exclusion.

Partner members can be those who meet the requirements of the association in a particular way and participate actively in fulfilling those. In case the existing partners agree upon a new partner, he can be accepted as a partner member. Because preferably a new partner is personally known to the members it is advisable to admit new companies as a full member first.

Anytime the committees may appoint guests, when it seem beneficial to their work. Suggested as potential interesting members:

Activities of the PDF/A Competence Center

Press relations

PDF-Tools has created a special press distribution list, which reaches other target groups than just the technical one. Peter Bienert proposed to use a similar approach for the PDF/A initiative.

Agreed was a two-stage scheme: At first the technical target group which is already aware of PDF/A should be addressed and in a second step further groups such as executives should be approached.

  • Luratech will speak with their agency Goodnews about press relations for PDF/A CC.
  • A press release is planned for the foundation of the association and another on the seminar before DMS.

As all the partner companies are present at DMS Expo, this event was chosen to host a press conference for PDF/A CC.

Goal: We address all interested parties in technical positions and management who should have an interest in PDF/A.

  • The basic web site should be up and running when the first press release is published.
  • Irina Leichsenring will organise the editorial content.
  • The partners are expected to contribute editorial input.
    • It was not yet decided who manages the technical issues.
    • Location and URL are still to be defined.
    • As URL was suggested PDF-A.org (PDF-Tools) and PDFA.de, PDFA.info (both Callas).pdfa.org is taken elsewhere but for sale.
  • Harald Grumser would like to try if one could buy pdfa.org.

Seminars

Proposal Thomas Zellmann: Seminar at the day before DMS Expo.

A first draft for the agenda was presented. All partners agreed on this proposal.

Technical Goals

  • Test suit
  • Compatibility test
  • Guarantee compatibility of the partner solutions
  • Thomas Merz first gave an overview over his test in which he compared the results of different validation tools, The result show there is still a lot of room for improvement.
  • Goal of the technical cooperation in the association: Different results, Errors and bugs should be discussed and the partners should adjust technically according to the results.
  • Proposal Callas: To develop a test suite and once this is done hand it over to an institute like TÜV and let them do the certification.
  • Even though problems are discussed internal – communicating to the general public we should talk of solutions, not of problems.

The technical topics should be recorded and discussed first in the Wiki.

For the working group on technical aspects of PDF/A Thomas Merz took responsibility, supported by Olaf Drümmer.
